When it detects an email with specific conditions (e.g., a specific address or keywords in the subject/body), the system automatically imports the relevant content and creates a new row in the Airtable database. This eliminated the initial manual data entry and ensured every lead was captured.
- Intuitive Dashboard: Each sales transaction is uploaded to a dedicated Airtable row, functioning as a centralized, dynamic dashboard . The main management is organized around a “Status” column, allowing visual, real-time tracking of each transaction’s progress.
- Efficient Data Editing: Imported data can be easily arranged into the appropriate columns in the application, or even copied from similar previous rows, reducing load time and minimizing errors .
- Automated and Personalized Notifications: The solution enables seamless notification of different management stages, both to the company and to customers. A simple change to the value of a “Notification” column triggers automated emails.
These emails dynamically combine fields from all columns , dramatically speeding up the communication time of critical information such as:
- Visual Receipt Management: A column has been added for attaching receipt photos, which are also automatically included in notifications, adding an extra level of verification and transparency.
- Notification Delay System for Accuracy: To prevent errors and allow for corrections, we implemented a unique system that delays notifications by a few minutes . This is crucial when a similar entry is duplicated in the database or a procedure needs to be edited, ensuring that only the correct notifications are sent once the edit is complete.
